We are looking for a highly organized, proactive and detail-oriented Executive Assistant Intern to support the Executive Assistant of the VP Marketing Prestige. Finance & Administration Support the invoice management process (Purchase Orders, invoice tracking and follow-up with internal stakeholders and suppliers). Assist with the preparation and follow-up of expense reports (T&E). Events & Logistics Support the logistical organization of internal meetings, workshops and team events. Coordinate catering, meeting rooms, materials and supplier deliveries. Assist with shipping and receiving event materials when required. Data Management Update and maintain internal databases, ensure information remains accurate, complete and up to date (organization chart, email diffusion lists…) Support continuous improvement of administrative processes and documentation (onboarding, invoicing…) Supply Room Management & Compliance Help maintain the organization and security of the team's supply rooms. Ensure supplies are properly stored with the help of the other interns Help to track access, organize inventories and contribute to maintaining a safe, tidy and compliant environment. General Administrative Support Provide day-to-day administrative support to the Executive Assistant. Help coordinate cross-functional requests. Support onboarding activities and other ad hoc projects when required. Profile Strong organizational skills with excellent attention to detail. Comfortable managing multiple priorities in a fast-paced environment. Proactive, reliable and eager to learn. Excellent communication and interpersonal skills. Proficient in Microsoft Office (Excel, PowerPoint, Outlook and Teams).
